Covid Pandemic Response: Managing Public Access and Visitor Flow Effectively.

Vienna, March 18, 2020 — Optimized access management is becoming increasingly important during the pandemic — particularly when it comes to managing visitor flows in public spaces. SMART CJM GmbH, based in Krefeld (Germany), offers a cloud-based solution that enables public institutions to respond quickly to the mobility restrictions brought on by the coronavirus crisis. The Vienna-based company Digitale Mediensysteme (DMS) is the exclusive partner for sales and implementation in Austria and has set up a dedicated information portal for this purpose.

This practical solution allows town halls, government offices, and other still-open institutions to schedule appointments online and thereby control visitor traffic during the pandemic. When appointments are booked in advance, access management — for example, at a municipal office — becomes much easier to handle. Citizens are only granted access to the building if they have scheduled an appointment in advance via their home PC or mobile device. Overcrowded waiting areas are thus avoided — a major advantage during the pandemic — while also making access control more efficient in general and easier to manage beyond the COVID-19 context.

In addition, the solution can be adapted to support telephone and video consultations with experts or call center staff — another valuable feature during the pandemic.

Combining Access Management With Reduced Workload for Staff

Once an appointment has been booked online, access to the respective building or area is granted at the entrance upon presentation of the appointment confirmation. Reception or security staff verify the appointment using a tablet solution or assign any remaining time slots available on-site. At their workstations, office staff have a real-time overview of all citizens currently in the building, along with their respective waiting times. Through the “Single-Counter Client,” they can call up the next visitor relevant to their area of expertise.

The solution is based on the Smart Citizen eXperience standard software, which is already in use at numerous public institutions. Hosted in the cloud, it can be implemented quickly without requiring any local installation. The platform is also intuitive to use, eliminating the need for extensive training. Public institutions can subscribe to the solution at a fixed monthly rate — with the flexibility to cancel monthly as well.
